Running a bulk redaction

1. If you've got access to manage redaction, you'll find it under the "admin" section of the navbar on the left. Click Admin, then Data.

2. Scroll to the bottom of the page to the Data Retention section and click Manage Redaction.

3. A pop-up will open explaining what's about to happen. It'll tell you that all free text boxes, uploaded images and files, activity feed updates, messages, and case management forms will be deleted from any reports that are affected. It's worth noting that only reports in a closed or archived state are ever eligible - anything still open is safe.

4. In this same pop-up, pick your cutoff date. Any eligible report received before that date will be included when you go ahead.

5. Once you're happy with your date, click Find Reports. This will search the system for everything that matches.

6. You'll then see another pop-up telling you how many reports will be affected. You can click on that number to open a filtered view in your reports list, showing you exactly which reports are eligible - it's a good idea to have a look through these before continuing.

7. If you're ready to proceed, type the word "redact" into the box and hit Redact.

8. That's it - the redaction will then run in the background, working its way through the affected reports over time. You don't need to keep the page open while this happens; the system will tell you when it’s done.

A couple of things worth keeping in mind: this action can't be undone, so it's well worth reviewing the filtered list of reports in step 6 before you confirm. And because only closed or archived reports are ever included, you don't need to worry about this affecting anything still active.
